Privacy notice
DRAFT - how we look after the personal information you give us through this website.
This notice is a DRAFT. It will be completed, with the missing details filled in, before the practice launches.
Who we are
Dixons Private Client is an estate planning practice based in Anglesey, Wales. For anything to do with your personal information, the person to contact is Klara Dixon. [Add the email address and postal address for data protection enquiries.] If we are required to register with the Information Commissioner's Office, our registration number will be shown here. [Add ICO registration number, or confirm that registration is not required.]
This notice covers this website only. When you become a client, we give you a fuller notice that explains how we look after the information we hold while doing work for you.
What this website collects
Only one thing on this website collects personal information: the contact form. It asks for your name, your email address, your telephone number if you choose to give it, and your message.
The website does not use analytics, does not set cookies of its own, and does not track you between visits. The company that hosts the site keeps short-term technical records of visits, such as the address your device connects from, to keep the site running safely. [Confirm the host's current retention period before launch.]
What happens to your message
When you press Send, your name, email address, telephone number and message are emailed to the practice so that we can reply to you. They are not saved on the website or anywhere else on the way. The email service that delivers the message keeps a short delivery record for a limited time, as all email services do. [Confirm the period before launch.]
We keep your email for as long as we need it to deal with your enquiry. If you become a client, it becomes part of your file and is kept under the fuller notice we give you then. If you do not, we delete it [within six months - to be confirmed].
Why we are allowed to use it
Data protection law requires us to have a lawful basis for using your personal information. For the contact form, that basis is our legitimate interest in replying to people who get in touch and in running the practice, which does not override your own interests or rights. If you go on to become a client, we use your information because we need it to carry out the work you ask us to do.
Please do not include sensitive personal information, such as details of your health, religion or anyone's finances, in the contact form. We can discuss anything sensitive once we are in touch, and we will explain how we look after it then.
Telling people apart from spam robots
The contact form uses Cloudflare Turnstile to tell people apart from automated spam. Turnstile may look at technical details of your browser to do this. It does not set tracking cookies and does not show you adverts. [Confirm the wording against Cloudflare's current privacy information before launch.]
Who we share it with
We do not sell or pass your information to anyone for marketing. The only people who see your message are those who work at the practice. The companies that provide our website hosting, email delivery and spam protection handle your information on our behalf and under our instructions, and some of them may process it outside the UK. Where they do, we rely on the safeguards data protection law allows, such as the UK's adequacy rules or standard contractual clauses. [Name the hosting, email and spam-protection providers and confirm their locations before launch.]
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct anything that is wrong;
- ask us to delete it, where we have no good reason to keep it;
- object to our using it, or ask us to limit how we use it;
- complain to the Information Commissioner's Office if you are unhappy with how we have handled it. You can reach the ICO at ico.org.uk or on 0303 123 1113.
To exercise any of these rights, contact Klara Dixon at [email address]. We will reply within one month. We would always rather hear from you first and put things right.
Links to other websites
This website links to a few other sites, such as the ICO. We are not responsible for how those sites handle your information; please read their own privacy notices.
Changes to this notice
We will update this notice when the practice launches and whenever the way we work changes. The date of the last change is shown here. [Add date.]
